Sarah Chen - follow up now
Your team is stuck playing phone tag
You know the drill. Appointment no-shows cost you money. Lapsed customers slip away. Cancellations leave empty spots. Your team spends hours calling people back, leaving voicemails, and sending follow-up texts. By the time they reach someone, the moment has passed.
No-shows cost you money
Customers miss appointments when reminders are late, ignored, or never sent. Every empty slot is lost revenue.
Hours wasted on follow-ups
Your team leaves voicemail after voicemail. A few people call back. The rest move on.
Revenue left on the table
Cancellations create gaps. By the time you manually call the waitlist, it's too late to fill the slot.
Lapsed customers disappear
Your best customers stop coming. You mean to reach out, but the day gets full. By the time you notice, they are gone.
SMS + Voice. One brain. No duplicate outreach.
Most tools treat SMS and calls as separate systems. Dialbox coordinates both. Send a text reminder, make an AI call, or use both in a single campaign without duplicate outreach.
Run SMS and voice in the same campaign. If a customer confirms by text, they are marked as reached and the follow-up call is skipped.
AI sees the entire conversation across both channels. If a customer asks about parking by SMS, AI knows when it calls.
Choose SMS only, voice only, or both for each campaign. Track which channel gets better results and adjust the next send.
Automations that start from customer signals in your CRM
Appointment at risk
When a CRM note includes words like reschedule, running late, or cannot make it, Dialbox can start the right reminder or recovery sequence.
Open slot
When a booking is cancelled, trigger outreach to your waitlist. AI can contact customers in priority order until someone takes the slot.
Customer going quiet
When a contact is marked inactive, overdue, or follow up later, trigger a personalized win-back sequence before the relationship fades.
Review ready
When a job is complete or a customer is tagged happy, send the right review request while the good experience is still fresh.
Every campaign starts with context your team already captured
Generic blasts don't work. Dialbox campaigns use CRM fields, tags, trigger words, manual sends, and conversation history to decide who to call or text, when to reach out, and what the AI should say. First name, appointment time, service type, urgency, status, and business details can all shape the follow-up.
{firstName}, {lastName}, {phone}, {companyName}, {appointmentDate}. Pull contact details from Dialbox and connected CRM records.
Start a campaign yourself, or launch one when notes, tags, or outcomes include words like quote, urgent, cancelled, waitlist, review, overdue, or renewal.
{businessName}, {businessPhone}, {businessAddress}. Include your callback number or location automatically.
See exactly what each customer will receive, with CRM fields and AI context populated from real data before anything sends.
"Hi {firstName}, you mentioned interest in {serviceInterest}..." Data collected during calls can become campaign context without manual entry.
If a caller says "yeah" or "sure" during a call, the system records "yes." Clean, consistent data flows directly to your campaigns.
Not robocalls. Real conversations.
Campaign calls use the same conversational AI as Dialbox Virtual Receptionist. Customers can interrupt, ask questions, and request different times. AI answers from your knowledge base, checks your calendar, and books appointments on the spot.
"What's your cancellation policy?" "Can I bring my kids?" AI uses your business knowledge base to answer in the moment.
"Actually, can I move that to Thursday at 3pm?" AI checks your calendar and books the new time using the same calendar integration as inbound calls.
"I'm not sure I can make it." AI offers alternatives. "Would a different time work better?" Flexible conversations that keep appointments on the books.
AI detects voicemail and leaves a clear, professional message with callback details. No awkward silence or cut-off greetings.
Same multilingual capabilities as inbound calls. AI detects language and responds naturally in French, Spanish, Mandarin, and more.
Every call is transcribed and recorded, so you can review what was said and improve scripts based on real conversations.
AI reads every response and routes the next step
Customers reply. AI detects intent and responds automatically. "Yes" means confirmed. "Can't make it" means cancelled. "Stop" means opted out. Ambiguous responses get flagged for human review, so your team sees what needs attention.
AI classifies responses as Confirm, Cancel, Reschedule, Opt-out, or Other, so your team does not have to sort every reply by hand.
Set your own response messages, such as "Thanks for confirming!" or "We've cancelled your appointment," and keep replies in your brand voice.
Choose which responses trigger alerts. Get notified for cancellations and opt-outs, and skip routine confirmations if you do not need them.
Watch your campaigns work in real-time
Most tools show you data hours later. Dialbox shows live progress as campaigns execute. Watch calls connect, see texts delivered, track confirmations as they come in, pause campaigns mid-flight, and export results to CSV.
See exactly where each campaign stands: SMS sent, delivered, and responded to. Calls made, connected, and outcome recorded. Pause underperforming campaigns early or double down on what is working.
Track reach rate, response rate, confirmations, cancellations, and opt-outs in one place, with the details behind every result.
Compare SMS response rates, average response time, call connect rates, and call outcomes so you can see what works for your customers.
Download complete campaign data. Contact info, timestamps, response content, outcomes. Import to your CRM or analyze in spreadsheets.

Built for customer relationships. Not cold calling.
Dialbox Outbound Campaigns are designed for existing customer relationships only: appointment reminders, follow-ups, re-engagement, and review requests. Not cold outreach to purchased lists. Built with CASL requirements in Canada and TCPA requirements in the US in mind.
Designed around Canadian Anti-Spam Legislation requirements for commercial electronic messages, including opt-in verification, clear sender identification, and automatic opt-out processing.
Designed around Telephone Consumer Protection Act requirements, including recording disclosure, opt-out keywords, Do Not Call list management, and no manual opt-out overrides.
Campaigns can only target contacts in your database. No manual phone number entry. That helps preserve consent records and maintain an audit trail.
"Stop," "Unsubscribe," and "Don't call me again" are detected immediately and added to the Do Not Contact list. No exceptions.
Default quiet hours are 9 PM to 9 AM in the customer's local timezone. Queued sends wait for the next available window, with no early morning or late night contact.
AI automatically discloses call recording at the start of each recorded call, helping support consent requirements in two-party consent states.
How Dialbox compares to other customer outreach tools
| Feature | Dialbox | Competitors |
|---|---|---|
| Voice calls | Full AI agent with tools. Answers questions, reschedules, and books appointments. | Auto-dialers with recorded messages. No conversation. |
| Multi-channel | Unified AI context. SMS and voice coordinate, and the first response wins. | Separate silos. SMS tools do not know what voice did, so customers can get duplicate contact. |
| Campaign context | AI knows why it is calling and can answer follow-up questions. | Script-only outreach that cannot handle objections or questions. |
| SMS conversations | Smart intent detection. AI classifies responses, sends auto-replies, and flags ambiguous replies for review. | Keyword matching only. "YES" or "NO" with limited conversation handling. |
| Real-time updates | Watch campaigns execute live. See results as they happen. | Polling-based. Data delayed by minutes or hours. |
Your team gets outbound too
Your team can also make AI-powered outbound calls and send SMS by voice command through Assist. Confirmations, follow-ups, and callbacks. No dialer required. Calls and SMS draw from the same monthly pool.
Common questions
Is this like robocalling?
No. Outbound Campaigns are being built for opted-in customer relationships and follow-up by phone call or SMS. AI voice calls use natural, two-way conversations. Customers can interrupt, ask questions, and reschedule on the spot. SMS uses customer context instead of generic blasts.
Can I use this for cold calling or purchased lists?
No. Outbound Campaigns are designed for existing customer relationships only. It is for contacts already in your CRM or Dialbox database with the right consent. Use them for appointment reminders, follow-ups, win-backs, review requests, and lifecycle nudges. Not for cold outreach or purchased lists.
What happens if someone asks to stop calling or texting?
AI respects opt-out requests immediately and adds the contact to your Do Not Contact list. This works for both SMS ("STOP") and voice ("Don't call me again"). That contact won't receive more outbound campaigns unless you manually remove the preference. This compliance safeguard cannot be overridden.
How much does it cost?
Pricing has not been announced yet. Outbound Campaigns are marked as coming soon, and Dialbox will share availability, plan requirements, and pricing when it is ready.
Can AI reschedule appointments during campaign calls?
Yes. AI connects to your calendar and can reschedule on the spot. If a customer asks, "Can I move to Friday morning?" AI checks availability and books it using the same calendar integration as Virtual Receptionist. Changes sync immediately.
What happens if no one answers the phone?
AI detects voicemail and leaves a professional message with the key details and your callback number. You can customize the voicemail script per campaign. No awkward silence or cut-off greetings.
How does multi-channel coordination work?
You can combine SMS and voice in a single campaign. If a customer confirms by text, the scheduled call gets skipped automatically. AI sees the full interaction history across both channels, so customers are not contacted twice for the same follow-up.
Is this compliant with CASL and TCPA?
Outbound Campaigns are being built with CASL requirements in Canada and TCPA requirements in the US in mind. They include automatic opt-out handling, quiet hours enforcement, recording disclosure on calls, existing-contact limits, and an audit trail.
